Most of the stress in school admissions isn’t the decision — it’s the paperwork. A missing document on the day you’d planned to register can push your child’s seat back by weeks. This is the checklist to work from, plus what changes depending on which wing your child is joining.
The core documents, for every wing
Nearly every school in Karnataka asks for the same starting set:
- Student’s birth certificate — the original, plus a photocopy. This is the document age eligibility is checked against, so make sure the date of birth on it is legible and matches any other ID you have for the child.
- Aadhaar card copy — for the student, and often for the parent or guardian too.
- Parent ID and address proof — a passport, voter ID, driving licence or utility bill is usually accepted.
- Passport-size photographs — schools typically ask for 4, sometimes more if the school ID card is made on the spot.
What changes for Nursery and LKG
For a child’s very first school admission, there is usually no previous school to produce records from, so the list is shorter: birth certificate, Aadhaar, parent ID, and photographs. The main thing schools check carefully at this stage is age eligibility as on 1 June of the admission year — confirm the exact cut-off date with the school, since it varies slightly between institutions.
What’s different for a transfer into Primary or High School
If your child has already been at another school, you’ll need to add:
- Original Transfer Certificate (TC) from the previous school — this is usually the document that takes longest to obtain, so request it as early as possible.
- Previous school’s marks card or report card — for the most recently completed academic year.
- For a transfer into High School specifically, some schools also ask for the last two years of marks cards, so the new school can place the student correctly.
A timeline that avoids last-minute stress
- Request the Transfer Certificate first, the moment you’ve decided to change schools — this is the document most likely to cause a delay, since your current school has to process it.
- Gather the identity documents (birth certificate, Aadhaar, parent ID) in parallel — these don’t depend on anyone else’s paperwork.
- Get photographs done close to the admission date, since some schools want recent ones.
- Keep photocopies of everything, even documents the school says it only needs to “see” — you’ll often need the same set again for the bus service, insurance or exam registration later.
Questions worth asking before you assume you have everything
- Does the school need originals, certified copies, or is a plain photocopy enough at the inquiry stage?
- Is there a different age cut-off for Montessori, Nursery and LKG at this particular school?
- If the Transfer Certificate is delayed, can the seat still be provisionally held?
